Mobile invoicing is useful when the information is freshest: after a site visit, delivery, consultation, or completed repair. The value is not that a phone turns billing into a one-tap task. It is that you can capture the correct customer, scope, time, and price before those details disappear into notes and messages.
Invoice Master is a responsive web application. You open it in a supported phone browser; there is no separate iOS or Android app to install. That also means it should be treated as an online service, not as a guaranteed offline invoicing app.
Prepare the records before you are in the field
Create or verify the customer, company, products, tax settings, organization identity, and default PDF layout on a larger screen first. A phone is a good place to select known data. It is a poor place to discover that the legal customer name, purchase-order number, or tax identifier is missing.
For project work, link the invoice or time entry to the project so related quotes, invoices, and bills can be reviewed together later. The project-based invoicing workflow explains what that relationship does—and does not—automate.
Capture the billable facts immediately
After the work, record:
- the service or delivery date;
- a description that matches the quote or order;
- quantity, hours, and rate;
- materials or pass-through costs;
- the person who confirmed completion; and
- any change in scope that needs written approval.
Invoice Master time entries can be linked to a project or contact. In the time-billing workflow, selected entries can be grouped or split into line items and used to prefill a new invoice draft. The system does not turn a task card into an invoice automatically.
Treat local draft recovery as a safety net
The new-invoice and new-quote forms save unsent form data in the browser’s local storage. The dedicated browser draft recovery article covers the saved fields and failure cases. If the page reloads on the same device and browser, the form can restore that local draft. It is cleared when you submit or reset the form.
This is helpful during a disrupted mobile session, but it is not cloud synchronization, version history, or a substitute for saving the document. A different phone, a different browser profile, cleared site data, private-browsing cleanup, or device loss can make the local draft unavailable.
Review the customer-facing version
Small screens hide context. Before delivery, check the selected customer, currency, issue and due dates, purchase order, every line-item quantity and rate, tax, total, notes, and payment instructions. Generate or open the PDF and look for wrapped addresses, split rows, and long descriptions.
If conditions are distracting, save the invoice as a draft and do the final review later. Sending five minutes earlier is not an advantage if the document has to be cancelled and reissued.
Choose the delivery route deliberately
Invoice Master supports public document access links and PDF downloads. Premium adds sending invoice and quote email from the application, subject to an hourly rate limit, plus document attachments. A portal relationship adds authenticated access and conversation features; a public read-only link does not provide the same collaboration model.
If the customer is standing beside you, sharing a public link can be practical. Confirm the link opens, but do not claim that opening it proves contractual acceptance. Quotes are accepted or rejected through the client portal workflow.
Add payment only when the invoice is ready
Premium organizations with a connected Stripe account can create an invoice payment link. Checkout is hosted by Stripe, and the payment methods shown depend on the account, settings, currency, and eligibility. A successful payment is recorded through the integration and the invoice balance is recalculated.
Do not create or share the payment route while the amount or currency is still provisional. If the client later needs a refund or raises a chargeback, handle it in Stripe and add the matching refund or chargeback entry in Invoice Master.
A safe mobile sequence
- Select the verified customer or project.
- Add the agreed line items or selected time entries.
- Confirm currency, tax, issue date, and due date.
- Save the invoice rather than relying on the local form draft.
- Review the PDF or public page.
- Add the Premium Stripe link if applicable.
- Email, download, or share through the intended route.
- Recheck the saved record when you are back at a full workstation.
Mobile access shortens the distance between work and billing. The quality still comes from verified data and a deliberate review.
